This policy exists to protect both your brand and our factory while setting clear expectations for quality, turnaround, revisions, and cost allocation. Sampling isn’t just about seeing a garmentโit’s about confidence building, design validation, fit confirmation, and pre-production benchmarking.
When you understand exactly what you’re paying for, how long it takes, and what happens next, you can make informed decisions about moving forward with bulk production. This transparency eliminates confusion, prevents disputes, and ensures both parties are aligned before committing to large-scale manufacturing.
Design Validation
Verify that your design translates correctly from tech pack to physical garment with accurate construction and proportions.
Fit Confirmation
Test Western sizing standards across your size run to ensure garments fit your target market correctly.
Quality Benchmarking
Establish the quality standard that will be replicated across your entire bulk production run.
Material Authentication
Confirm fabric weight (GSM), composition, color accuracy, and trim quality before committing to large orders.
Cost Certainty
Lock in accurate production costs based on validated materials, construction time, and customization complexity.
Risk Mitigation
Identify and resolve issues at sample stageโnot during bulk production when corrections become costly.
Types of Apparel Samples
Packaging & Labeling Sample
Purpose:Demonstrates final product presentation including poly bag packaging, folding method, hangtags, size labels, care labels, and any branded packaging elements. Ensures retail-ready presentation matches your brand standards.
When Required:For retail distribution, wholesale partnerships, or when packaging is part of brand experience.
Development Timeline:5-7 business days after all packaging materials and labels are finalized
Color Approval / Lab Dip Sample
Purpose:Validates custom dye color accuracy against Pantone references or brand color standards. Lab dips are small fabric swatches dyed to your specifications, allowing you to approve exact color before bulk fabric production.
When Required:For custom colors, seasonal color matching, or when color consistency is critical to brand identity.
Development Timeline:5-7 business days per round (expect 2-3 rounds for final approval)
Pre-Production Sample (PPS)
Purpose:Made using approved bulk production fabrics and trims. This is the “golden sample” that bulk manufacturing will replicate exactly. Serves as the quality benchmark for final QC inspections.
When Required:After design prototype approval and before bulk production authorization. Required for all orders as the contractual quality standard.
Development Timeline:10-14 business days after bulk fabric confirmation and final trim procurement And development timeline
Size Set Sample
Purpose:Confirms fit accuracy across all sizes in the production range (e.g., XS-XXL or S-3XL). Validates that grading maintains proper proportions and Western sizing standards throughout the size curve.
When Required:For brands requiring fit verification across multiple sizes, especially when launching new fits or entering markets with strict sizing expectations (USA/EU retail distribution). 5-7 sizes per style)
Development Timeline:12-18 business days for complete size run (typically 5-7 sizes per style)
Fabric & Trim Swatches
Purpose:Physical samples of fabric options (different weights, compositions, finishes) and trim components (zippers, labels, buttons, elastics) to evaluate material quality, color accuracy, and hand feel before full garment production.
When Required:Before committing to bulk fabric orders, when comparing multiple material options, or when validating lab dip color matches against Pantone references.
Development Timeline:3-5 business days for standard fabrics; 7-10 days for custom dyeing or special finishes
Prototype / Development Sample
Purpose:Validates design structure, silhouette, proportions, and construction method. Used to identify fit issues, pattern problems, or design modifications before investing in final materials.
When Required:First sample for new designs, major style modifications, or when testing fit concepts before committing to bulk fabric procurement.
Development Timeline:7-10 business days after tech pack approval and fabric/trim availability process.
Important: All timelines begin after tech pack confirmation, fabric approval, and deposit receipt. Complex technical garments or specialty materials may require extended development periods. Rush sample services available with additional fees (+40% sample cost, 5-7 day turnaround for standard constructions only).

When you proceed to bulk production (500+ units), 100% of your sample fees are credited toward your production order. This means samples become free if you move forwardโyou’re only paying to validate your design before committing to large inventory. For orders under 500 units, 50% of sample fees are credited. This protects both parties while encouraging serious buyers to validate designs properly.
Turnaround Times & Revision Cycles
We understand that timing is critical in garment manufacturing. Our production timelines are carefully structured to ensure quality, accuracy, and efficiency at every stage.
Lead times may vary depending on garment complexity, fabric sourcing, and customization requirements. All timelines provided are calculated in business days and begin once the final tech pack has been reviewed and approved.

Basic construction garments: tees, crewnecks, hoodies without complex embellishments. Includes standard screen printing or basic embroidery.
Technical outerwear, multi-panel construction, intricate embroidery (15k+ stitches), custom woven labels, specialty fabrics requiring sourcing.
Expedited production for time-sensitive launches or investor presentations. Available for standard constructions only. Rush fees apply: +40% sample cost.
Revision Policy
- First revision round: Included โ Minor adjustments to fit, proportions, or construction details based on initial sample feedback.
- Second revision round: 50% of original sample cost โ Continued refinements or design changes that weren’t specified in the original tech pack.
- Third+ revisions: Full sample cost โ Major design overhauls or repeated back-and-forth indicates tech pack wasn’t finalized. We charge full price to protect production schedule.
- Material changes: Additional fabric/trim costs apply โ Switching from one fabric to another mid-process incurs new material sourcing fees.
๐ก Pro Tip: Finalize your tech pack with detailed specs, reference images, and measurement charts before ordering samples. This minimizes revision rounds and speeds up your timeline.
Approval Process & Quality Expectations
Our approval process ensures that what you approve in sampling is exactly what we produce at scale. This eliminates surprises and protects your brand’s quality standards.
Fit Review
Check sleeve length, shoulder width, body length, chest/waist/hip measurements against your spec sheet. Test on live models if possible.
Material Check
Verify fabric weight (GSM), hand feel, stretch recovery, color accuracy against Pantone/lab dip. Inspect trim quality (zippers, buttons, labels).
Branding Elements
Confirm screen print clarity, embroidery stitch density, woven label placement, hangtag attachment, and packaging presentation.
Construction
Review seam strength, stitch-per-inch count, hem finish, bartack reinforcement at stress points, and overall garment durability And Construction Standards
โ ๏ธ Critical: Pre-Production Sample Sign-Off
Final bulk production will reference the approved Pre-Production Sample, not initial prototype drafts. Once you sign off on the Pre-Production Sample, that becomes the quality benchmark we replicate across your entire order. Any issues not flagged during sample approval cannot be grounds for rejecting bulk production. This protects both parties and ensures clear expectations.
What we need from you: Written approval (email confirmation) stating “Pre-Production Sample approved for bulk production” with any final notes or clarifications. This approval triggers production scheduling.
Bulk manufacturing only begins after formal sample approval. The approved Pre-Production Sample becomes the contractual quality benchmark for your entire order.
Final Sample Approval
You review the Pre-Production Sample and provide written approval (email confirmation) stating: “Pre-Production Sample approved for bulk production.” This approval must include any final notes, measurement confirmations, or quality standards that will be enforced during bulk QC.
Production Benchmark
The approved sample becomes the “golden sample” that our QC team references throughout bulk manufacturing. All measurements, construction details, fabric quality, and finishing standards from the approved sample must be replicated across every unit in the bulk order.
Quality Control Validation
During bulk production, our QC team conducts inspections at 10%, 50%, and final stages, comparing each checkpoint against the approved sample. Measurements, stitching quality, fabric consistency, and trim application are verified to match the approved standard. Any deviations are flagged and corrected before proceeding.
Critical Protection for Your Brand:
Once you approve the Pre-Production Sample, that approval locks in the quality standard for bulk production. Any issues not flagged during sample approval cannot be grounds for rejecting bulk manufacturingโthis protects both parties and ensures clear expectations.
What this means: If the sample has a fit issue, construction flaw, or material concern that you approve without noting, we cannot be held responsible when those same characteristics appear in bulk production. The sample approval process is your opportunity to validate everything before scaling.
Our Commitment: If bulk production deviates from the approved sample due to our manufacturing error (wrong measurements, incorrect fabric, construction changes), we remake affected units at no charge. The approved sample is our contractual obligation.
