Your Brand is Built to Scale: Reliable Sampling & Production
We validate the details of apparel brands from the initial prototype sample to full scale production before the manufacturing takes place. Our apparel sample process is designed to ensure that your garments fit, quality meets expectations and brand requirements for USA, European, Australian and global markets.
Sampling is more than creating a prototype. It serves as the backbone of consistent bulk production, accurate costing, and scalability for the long term.
- Concept to Approval, structured garment sampling process.
- No hidden fees or development charges, transparent sample pricing.
- Standardised turnaround times for all sample types
- Assessment of production in bulk using an approved sample as a quality criterion

Purpose of This Policy
Why We Have a Sample Policy
Our sample policy is created to secure your brand and our factory and to set clear expectations about quality, timing, revisions and development costs.
As an OEM apparel manufacturer and custom clothing manufacturer, we feel that garment samples should clarify matters prior to the start of production. Knowing the clothing sample process helps any brand, retailer, wholesaler or start-up fashion company decide whether or not to invest in the stock before it’s too late.
This sets expectations from the first time, helps to avoid misunderstandings and costly delays, and helps to keep everyone on the same page before going into bulk manufacturing.
Design Validation
Check that your design has been transferred correctly from the tech pack to a garment that has been put together correctly with all the proper parts, proportions and function.
Fit Confirmation
Make sure garments fit the U.S., European and Australian size standards and are consistent throughout the size range.
Quality Benchmarking
Develop a pre-production standard that will be used for a whole bulk order.
Material Authentication
Before embarking on a large-scale production run, verify the material’s GSM, colors, trims and material quality.
Cost Certainty
Calculate the cost of manufacturing goods according to the complexity of the construction, materials and customization needs.
Risk Mitigation
Find and correct problems while developing sample, rather than when mass producing it, when changes are more expensive.
Types of Apparel Samples
Packaging & Labeling Sample
Purpose:It is a sample of your product that will be presented to your customers. Contains folding techniques, poly bags, size labels, care labels, hangtags, stickers for bar codes and branded packaging elements for the professional retail ready appearance.
Packaging and labeling samples are used to ensure uniformity, as well as improving the customer experience in both wholesale and retail channels for private label clothing brands.
When Required:- Recommended for:
- Private label apparel brands are not uncommon.
- Retail distribution
- E-commerce businesses
- Wholesale programs
- Premium packaging requirements
5-7 business days after all packaging materials and labels are finalized
Color Approval / Lab Dip Sample
Purpose:Lab dip samples test the colour during the initial stages of the fabric production process. Small swatches of fabric are dyed using pantone reference or custom brand colours and brands can approve colours with confidence.
This will help to make sure that color is consistent from one run to the next.
When Required:- Recommended when:
- Developing custom colors
- Matching Pantone standards
- Launching seasonal collections
- Frequently, the brand color should be adhered to.
- Manufacturing clothes for the retail market in the USA, Europe and Australia.
5-7 days processing time per round.
Most projects need 2-3 rounds of approval before they are finally approved.
Pre-Production Sample (PPS)
Purpose:The Pre-Production Sample (PPS) is created with real bulk fabric, trims, labels and accessories. It is the “golden sample”, and is used as the official quality standard for mass production.
All stages of bulk manufacture refer to the approved PPS to guarantee uniformity and quality.
When Required:Needs to be submitted at prototype approval and prior to authorising the production.
It is a crucial step for brands who want to turn to trustworthy and scalable clothing production.
Development Timeline:1Approximately 10-14 days after the approval of bulk fabric and the procurement of fabric trims.
Size Set Sample
Purpose:Fit and grading is confirmed across the whole size range with sizing set samples. They maintain the proportions and uniformity of measurements across the size curve.
Brands targeting the USA, Europe and Australia in particular should pay careful attention to this process since expectations of fit are well defined.
When Required:Recommended for:
New collections
First production runs
Retail programs
Multi-size garments
Brands that will need to be sized according to Western sizing standards
Typical size runs include:
XSโXXL
Sโ3XL
5โ7 sizes per style
Completing a size set will take 12-18 business days.
Fabric & Trim Swatches
Purpose:Fabric and trim swatches enable brands to test materials prior to committing to garment development.
Samples may include:
There are a variety of weights of fabrics that are available for the material.
Cotton, polyester and blended fabrics
Specialty finishes
Zippers
Buttons
Elastics
Woven labels
Drawcords
Hardware components
Brands can use these swatches to compare the quality, texture, colour accuracy and overall performance before making bulk orders.
- Expanding upon the number of material choices
- Evaluating fabric quality
Approves trims - Matching Pantone colors
- Selecting specialty finishes
Usually takes 7-10 business days to get fabric and tech pack approval (after).
Prototype / Development Sample
Purpose:The initial step in the garment sampling process is prototype samples. They test the design, shape, size and construction techniques before purchasing bulk materials.
Prototype samples are used to detect fit problems and construction modifications at an early stage, thus minimising risk in mass production.
Prototype manufacturing gives confidence to startup brands, retailers, and established fashion brands prior to scaling manufacturing.
When Required:Recommended for:
- New apparel designs
- Tech pack creation projects
- Style modifications
- Custom garment programs
- Private label collections
- OEM apparel manufacturing
7-10 business days after tech pack approval and fabric/trim availability process.
Important: All sample turnaround times start from:

Sample Fee Credit Policy
We believe apparel sample development should reduce riskโnot create unnecessary costs.
To support serious brands and long-term manufacturing partnerships, sample fees can be credited toward bulk production orders.
Orders Below 500 Units
For production orders below 500 units, 50% of sample fees are credited toward the final manufacturing invoice.
This approach helps emerging brands and smaller businesses validate their designs while lowering overall development costs.
Orders Above 500 Units
For production orders of 500 units or more, 100% of sample fees are credited toward the bulk order.
In many cases, this means your sample development investment is fully recovered when you move forward with production.
Turnaround Times & Revision Cycles
We understand that speed and accuracy are equally important in apparel manufacturing. Our sample development timelines are structured to help brands launch efficiently while maintaining consistent quality standards.
Lead times may vary depending on garment complexity, fabric sourcing, customization requirements, and trim availability. All timelines are calculated in business days and begin after final tech pack approval.
Our basic apparel manufacturing service is perfect for T-shirts, hoodies, crewnecks, joggers, sweatpants, and simple cut-and-sew garments. We offer standard screen printing, basic embroidery, and reliable construction methods with a fast turnaround time of 7โ10 business days.
Premium apparel manufacturing for advanced garments with specialty fabrics and detailed construction. Suitable for technical outerwear, performance wear, and premium streetwear, including intricate embroidery, custom labels, and advanced construction methods with a 10โ15 business day turnaround.
Expedited sample development for brands with tight launch schedules, trade shows, or investor deadlines. Available for standard constructions only, with a typical turnaround of 5โ7 business days. Rush service is subject to fabric availability, factory capacity, and design complexity, and includes an additional 40% rush fee on standard sample costs.
Revision Policy
To ensure efficiency, yet provide brands with the flexibility they need in sample development, our revision policy has been designed.
First Revision Round
- Please note that the following items are included in the course fee:
- Minor changes are made after the first sample reading.
- Examples include:
- Fit adjustments
- Length modifications
- Measurement refinements
- Small construction improvements
- Minor placement corrections
- This stage is used to get the garment a little closer to its final shape before it goes to final approval.
Second Revision Round
- 50% of Original Sample Cost
- Any other edits after the initial revisions will be 50% of the sample price.
- Typical reasons include:
- Design changes
- Additional fit corrections
- Specification updates
- These are the things that were changed during the construction process but not part of the original tech pack.
Third Revision and Beyond
- The full sample cost is applicable.
- Several rounds of revision typically mean that the specifications were not complete and/or significant changes have been made to the design.
- After the second revision, any additional sample after this revision is charged at the normal sample rate with the intent of preserving production schedules and development efficiency.
- Examples include:
- Major silhouette changes
- New measurements
- Different construction methods
- Features or embellishments that are added on.
- Complete design overhauls
- Material Changes
- Changes of materials in the development process may incur additional charges.
- Examples include:
- Switching fabric compositions
- Changing GSM requirements
- New trims and hardware
- Alternative dyeing methods
- Upgraded accessories
- New materials โ need to be sourced and developed โ this has an impact on cost and lead time.
Pro Tip:
- To reduce number of revisions and speed up sample development, please ensure that you submit:
- A detailed tech pack will be provided.
- Measurement specifications
- Reference images
- Pantone color codes
- Branding requirements
- Label and packaging information.
- Fabric preferences
A comprehensive technical pack can help minimize sample cost, lead times and production accuracy for private label brands, retailers, wholesalers and established apparel manufacturers for USA, European, Australian, and global markets
Approval Process & Quality Expectations
All garments that are approved during the sampling process are replicated exactly in the bulk production because of our approval process. This means no uncertainty, lower production risk, and global-ready, consistent quality amongst the various brands, apparel retailers, and private label companies.
We strictly adhere to the quality control procedure of apparel manufacture for the USA, European and Australian market demands.
Fit Review
Fit is one of the most crucial processes in garment approval.
In this stage you need to assess:
Where do the shoulders line up and where do the seams go.
Sleeves length and cuff positioning
Chest, waist and hip dimensions
Overall garment silhouette.
Material Check
Quality of fabric and materials need to be checked prior to bulk production approval.
Inspect:
Fabric weight (GSM)
The amount of shrinkage and recovery that occurs when the fabric is stretched.
Precision of colour, compared to Pantone or lab dips.
Branding Elements
Your branding needs to be done perfectly and applied to every occasion.
The density and clarity of embroidery stitches.
Screen print alignment and durability.
The printing or heat transferring quality.
Construction
The durability and long-term performance of a garment depends on its construction.
The strength and reinforcement points of the seams.
Stitch-per-inch (SPI) consistency
Hem finishing quality
Bartack reinforcement at stress areas;
The alignment and symmetry of the panel.
These checks make sure that the garments are ready to be sold commercially, both wholesale and retail. The pre-production sample sign-off process is considered critical. The Pre-Production Sample (PPS) is the last approval step prior to the first production run. After approval, your entire order is produced to the approved PPS.
โ ๏ธ Critical: Pre-Production Sample Sign-Off
Final bulk production will reference the approved Pre-Production Sample, not initial prototype drafts. Once you sign off on the Pre-Production Sample, that becomes the quality benchmark we replicate across your entire order. Any issues not flagged during sample approval cannot be grounds for rejecting bulk production. This protects both parties and ensures clear expectations.
What we need from you: Written approval (email confirmation) stating “Pre-Production Sample approved for bulk production” with any final notes or clarifications. This approval triggers production scheduling.
Bulk manufacturing only begins after formal sample approval. The approved Pre-Production Sample becomes the contractual quality benchmark for your entire order.
Final Sample Approval
You review the Pre-Production Sample and provide written approval (email confirmation) stating: “Pre-Production Sample approved for bulk production.” This approval must include any final notes, measurement confirmations, or quality standards that will be enforced during bulk QC.
Production Benchmark
The approved sample becomes the “golden sample” that our QC team references throughout bulk manufacturing. All measurements, construction details, fabric quality, and finishing standards from the approved sample must be replicated across every unit in the bulk order.
Quality Control Validation
Our QC team inspects the products throughout the production process:
10% production check
50% mid-production inspection
Final random inspection
The direct comparison is done at each stage against the approved PPS to ensure consistency and quality compliance.
Critical Protection for Your Brand:
The pre-production sample is approved and becomes the guideline for bulk production. This safeguards both parties as it helps to avoid misunderstandings and set expectations.
What this means:
When a sample feature (fit, fabric, construction or design element) is approved without revision, it will be produced in mass quantities.
If there are problems in samples that are not detected during sample approval, then they cannot be a basis to reject bulk production
Our Commitment:
Bulk production will be guaranteed to match the approved pre-production sample. In the event that any deviation is made as a result of manufacturing mistakes, we will Correct affected units and remake faulty components free of charge Ensure complete quality control
This guarantees trust, consistency, and reliability in each of the orders of global apparel brands and OEM clients.
